Merchant statements

How to read a merchant processing statement

Start with two numbers: total card volume and total fees for the month. Divide fees by volume to get your effective rate. Then sort every fee into three buckets — card-network costs (interchange and assessments), the provider's markup, and fixed monthly or annual charges.

The summary page

Look for total sales processed, refunds, chargebacks and total fees. Some statements net fees out of daily deposits; others take them in one debit at month end. Either way, the total should be on the statement somewhere — if you can't find it, ask your provider in writing.

The fee detail

Fee lines usually fall into a few groups. Knowing which group a line belongs to tells you what is negotiable.

  • Interchange: set by the card networks and paid to the card-issuing bank. The same for every provider on a given card type.
  • Assessments / network fees: small percentage and per-item charges from the card brands.
  • Provider markup: the discount rate, per-transaction fee or 'qualified/non-qualified' surcharges — this is the provider's margin.
  • Fixed charges: monthly, statement, PCI, gateway, terminal rental, annual and minimum-volume fees.

Red flags worth a question

Fees that appeared without notice, 'non-compliance' charges, rates that changed mid-contract, terminal leases you can't cancel, or a large share of transactions downgraded to higher-cost tiers. None of these prove you're overpaying, but each is worth a written explanation.

Effective rate is a diagnostic, not a savings quote. Card mix, card-present vs. keyed, and network rules change what any provider can offer.

Questions to ask your processor

  • • Is my pricing interchange-plus, tiered or flat-rate?
  • • What is your markup above interchange, in % and per item?
  • • Which monthly, PCI, statement or gateway fees apply?
  • • Is there an early-termination fee or equipment lease?

Common questions

What is a good effective rate?

It depends heavily on your mix of cards, how cards are accepted (in person vs. keyed or online), and your average ticket. Compare against businesses like yours rather than a single benchmark number.

Can I negotiate interchange?

No. Interchange is set by the networks. The provider's markup and fixed fees are where pricing differs.

Is it safe to share my statement?

Black out account numbers first. We never need card numbers, bank logins or customer data to review fees.
