From merchant batch to bank deposit

A card batch rarely lands in your bank as the same number. Funding takes one to three business days, fees may be deducted daily (net settlement) or billed monthly (gross settlement), and refunds, chargebacks or reserves can change the amount.

Gross vs. net settlement

Gross settlement deposits full sales and bills fees once a month — easier to match daily. Net settlement deducts fees from each deposit — every day is off by the fees. Know which you have.

Tracing a deposit

  • Find the batch date and total in the processor report
  • Subtract refunds and any daily fees
  • Account for chargebacks or reserve holds
  • Match to the deposit one to three business days later
  • Note American Express or other cards that may fund separately

Effective rate is a diagnostic, not a savings quote. Card mix, card-present vs. keyed, and network rules change what any provider can offer.

Questions to ask your processor

  • • Is my pricing interchange-plus, tiered or flat-rate?
  • • What is your markup above interchange, in % and per item?
  • • Which monthly, PCI, statement or gateway fees apply?
  • • Is there an early-termination fee or equipment lease?

Common questions

Why are some cards deposited separately?

Some card brands or programs settle on their own schedule. Your processor's funding report shows each deposit's source.
